SECOND NOTICE OF ANNUAL MEETING AND NOTICE OF BOARD OF DIRECTORS ORGANIZATIONAL MEETING

OF SHOREWOOD COMMUNITY ASSOCIATION, INC.

TO ALL MEMBERS:

             The Annual Meeting of Shorewood Community Association, Inc. will be held on Tuesday April 7th, 2020 at 7:00 P.M., Online via video conference call and also telephone conference call.  Please see page 2 of this agenda for call in instructions available to all owners. The agenda items are as follows:

  1. Certifying quorum – Call to order
  2. Proof of Notice of Meeting
  3. Adoption of Minutes Previous Meeting
  4. Reports of Officers
  5. Committee Reports
  6. Announcement of New Directors
  7.  Unfinished Business
  8. New business

BOARD OF DIRECTORS ORGANIZATIONAL MEETING

            Immediately after the Annual Meeting, the Board of Directors will meet to elect officers of the Association.  The agenda for the Board Meeting is as follows:

  1. Certifying quorum – Call to order
  2. Proof of Notice of Meeting
  3. Elect New Officers
  4. New Business
  5. Adjournment

Shorewood Community Association Annual Meeting Update.

We will not be assembling in the Clubhouse at Shorewood Community Association. Please see below the instructions to log into our video conference call system and if you do not have a computer you are able to call in by phone. We appreciate everyone’s understanding during this difficult time, but the safety of our residents and service providers is our top priority. The legally required Meetings will be held through video conference and phone conference. The CDC is stating that gatherings of ten (10) people or more should not occur. Out of respect for the recommendations the Board of Directors are providing a way for owners to attend the meetings of the association to comply with these guidelines. We encourage you to stay home if you have any concerns or are residents that should be self-quarantined! The options for owners available are as follows:

 

  1. We will be hosting a “video conference” broadcast of the meeting over the internet. An e-mail with complete instructions for signing on and participating. You will have to sign on using a computer, not a cell phone.
  2. If you do not have a computer, you will still be able call in to listen to the presentation.

INSTRUCTIONS TO ACCESS THE PHONE/VIDEO CALL

Please call in starting at 20-30 minutes prior to the meeting to ensure that you are able access the meeting

You can select the link as it may work or you can copy and paste the link in your web browser. Once on you will need to enter your name and email. There is a box to check and only check the box if you want to sign up for service to host and this is NOT required. Then click the Join button. Once on you can then use your computer microphone and speaker to observe the power point presentation being displayed. If you do not want to use your computer speaker you can call into 425-436-6357 using the access code 372760# Then you will use the assigned pin to activate your phone.  These instructions will be displayed on the screen and just follow the instructions. All owners calling in will be muted as it will be impossible to host the meeting with everyone speaking at the same time and also the background noise. If you have a question we will be monitoring the chat box please type in your questions and we will read out the question and allow the Board Member speaking to respond at the end of the presentation.

 

  1. If you do not have a computer or wish to call in by phone. The number to call is 425-535-9340. This will take you directly to the meeting. Again, you will be muted during the call so we do not have an overabundance of callers talking over each other and to minimize excessive back ground noise.

ATTENTION RESIDENTS Building A

                                                                                                                                  

On Tuesday March 17th, 2020, TECH SYSTEMS WATERPROOFING INC., will begin pressure cleaning and painting on the exterior areas of your building. Work will begin on the South side common areas on all levels and elevated walls and towers.

Notices will be posted at elevator areas/lobby areas as work progresses to the remaining areas including balcony areas.

 

The following precautions must be taken to prevent damage to personal property.

  1. Remove all window screens and close all doors and windows tightly.
  2. Close all doors and window tightly.
  3. Place Toweling at bases of windows and doors.
  4. Fully open all window area storm shutters.
  5. Note: Tech Systems Waterproofing, Inc. will not be responsible for internal damage to shutter boxes. We will be responsible for dented or damaged sheet metal only.
  6. Remove all personal property from walkway areas.
  7. There will be no parking on building perimeters to avoid the

         possibility of over spray. Please observe RESTRICTED

         PARKING AREAS.

  1. TECH SYSTEMS WATERPROOFING INC., will not be

         responsible for damage to screens that are not removed. Storm shutters that are not fully opened, vehicles that are parked in restricted areas. All owners and guests should be made aware of possible dangers and should not enter barricaded areas and be alert to materials, tools and drop cloths to avoid personnel injury. Please stay clear of work areas.
